1. Contract of Hire

By placing a booking with Quality Coach Hire, the "Client" enters into a legally binding contract. The "Company" refers to Quality Coach Hire. All bookings are subject to these terms and conditions.

2. Payment and Deposits

Deposit

A non-refundable deposit of 20% is required to secure a booking.

Full Payment

The remaining balance must be settled no later than 14 days prior to the date of travel.

Late Bookings

Bookings made within 14 days of travel must be paid in full at the time of booking.

3. Cancellation Charges

In the event of cancellation by the Client, the following charges apply:

  • More than 14 days notice: Loss of deposit.
  • 7–14 days notice: 50% of the total hire charge.
  • Less than 7 days notice: 100% of the total hire charge.

4. Vehicle and Capacity

The Company will provide a vehicle of the size requested. However, we reserve the right to provide a larger vehicle than requested at no extra cost. The Client must not exceed the maximum seating capacity of the vehicle.

5. Client Responsibility and Conduct

Damage

The Client is responsible for any damage caused to the vehicle by passengers. A cleaning fee of £100 may be charged for excessive mess (e.g., vomit or spilled food).

Alcohol & Smoking

Smoking (including e-cigarettes) is strictly prohibited. The consumption of alcohol is not permitted unless prior written agreement is provided.

Behavior

The driver has the right to refuse transport to any passenger who is abusive or puts the safety of the vehicle at risk.

6. Delays and Liability

While we strive to be punctual, the Company is not liable for delays caused by circumstances beyond our control, such as:

  • Traffic congestion or accidents.
  • Extreme weather conditions.
  • Security alerts at London Heathrow or other transport hubs.
